Communication Improvements Update – Winter 2026
The Trustees of the Weston Roads Trust are implementing a series of improvements to strengthen communication with Trust beneficiaries and ensure timely, consistent sharing of important information.
These efforts are intended to improve clarity around road conditions, maintenance activities, and Trust operations, while making it easier for residents to contact the Trust when needed.
Over the coming months, the Trust is taking the following steps:
Centralizing Trust communications.
Emails sent to info@westonroadstrust.com will be received by ALL trustee members who can then respond to incoming messages promptly.
In addition, the Trust has established a dedicated phone number (901-206-5601) with voicemail transcription. This is a voicemail only inbox and all Trustees will receive the voicemail instantaneously along with the transcription to ensure messages are received, documented, and addressed efficiently.
Improving access to timely updates. The Trust website is being updated to include a clear announcements and updates section summarizing recent work, ongoing projects, and upcoming activities. This will serve as the primary source for general Trust information.
Reaching all property owners. A letter has been mailed to all beneficiaries directing residents to the website for ongoing information, and requesting trustees submit email addresses to support faster, more reliable communication going forward. Physical mail will continue to be used where appropriate for official or property-specific notices including your annual dues notices.
Together, these steps are designed to create clearer communication, faster response times, and greater transparency for all Trust beneficiaries, while maintaining the structure and responsibilities of the Weston Roads Trust.
Plowing and Sanding Update – Winter 2026
In preparation for the 2025–2026 winter season, the Trustees of the Weston Roads Trust undertook a review of winter maintenance services for Trust roads, with the goal of improving responsiveness, coordination, and overall road safety.
During November, the Trustees contacted and evaluated multiple contractors and ultimately engaged Santangelo as the Trust’s new plowing and sanding contractor. This decision was made to strengthen winter operations and provide more reliable coverage during snow and ice events.
Early in January, the Trust experienced an issue affecting school bus access during a winter weather event. Once the issue was identified, the Trustees coordinated directly with the contractor, and sanding operations were deployed to address road conditions. The situation was resolved promptly, and access was restored.
Since that time, the Trustees have continued to work closely with the contractor to refine communication and response protocols. The Trust is confident that the updated arrangements will support improved winter road maintenance for the remainder of the season.
The Trustees will continue to monitor road conditions, respond as needed during winter weather, and make adjustments to ensure safe and reliable access for residents, emergency services, and school transportation.
Drainage Maintenance Update – December 2025
In December 2025, the Weston Roads Trust completed a comprehensive drainage maintenance program across the Trust roads as part of its ongoing commitment to preventative infrastructure care.
Over three days in December, our contractor cleaned and cleared all street drains and catch basins throughout the Trust area, removing accumulated debris and root growth to improve stormwater flow and reduce the risk of future blockages.
The contractor also provided observations on areas where drainage performance is influenced by natural topography or private property conditions. In these cases, the Trust will continue to maintain street-owned drainage infrastructure while communicating recommendations to affected homeowners where appropriate.
Finally, several additional areas were flagged for future evaluation, including locations where vegetation or surface buildup may be obscuring drainage features. These items will be reviewed as part of upcoming maintenance planning.
Overall, this work represents a significant step forward in restoring and maintaining the Trust’s drainage systems and establishes a clearer, more efficient annual maintenance plan moving ahead.
Paving, Potholes, and Line Painting Update – Spring Planning 2026
The Trustees of the Weston Roads Trust are aware of the partial paving work completed on Meadowbrook Road in the spring of 2025 as well as the current condition of select road surfaces, including potholes and temporary or worn line markings.
During the 2025 construction season, the Trust completed targeted repaving work on Hidden Road as part of ongoing road maintenance and safety improvements. Additional paving and surface work elsewhere in the Trust road network was planned; however, not all paving and line painting work was fully completed before winter conditions set in.
As a result, certain areas—including portions of Meadowbrook Road—remain unfinished at this time. Temporary conditions were left in place to ensure roads remained passable and safe through the winter months.
The Trustees have incorporated these items into the Trust’s spring 2026 cleanup and maintenance plan and will be working to ensure that:
Remaining paving work is completed,
Potholes and surface defects are addressed, and
Final line painting and road markings are properly restored once weather conditions allow.
The Trustees recognize the importance of completing this work promptly and cleanly and will coordinate with contractors in the spring to bring all affected areas to completion.
Trustee Update – Governance and Compliance
Following the 2025 Annual Meeting in September, the Weston Roads Trust made changes to its Board of Trustees to ensure compliance with the Trust’s governing documents and applicable legal requirements.
After the Annual Meeting, Trustee Jim Gerritty was removed from the Board. In the process of working with legal counsel to address trustee appointments and filings, the Trustees were advised that—under the Trust’s governing documents—a total of five (5) trustees is required to remain in compliance.
As a result of this legal guidance, the Trust appointed two additional trustees after the Annual Meeting to restore the Board to the required number and ensure proper governance, continuity, and compliance with Trust obligations.

These appointments were made solely to satisfy the requirements of the Trust documents and to support the ongoing administration and operation of the Weston Roads Trust. The Trustees believe that maintaining a fully compliant Board is essential to responsible stewardship, transparency, and effective decision-making on behalf of all beneficiaries.
The Trust will continue to follow its governing documents and legal guidance with respect to trustee appointments and governance matters going forward.
